MindtechMedia.ai ("MindtechMedia.ai," "we," "us," or "our") is the business this policy refers to. This policy applies to two groups. First, our clients and visitors to our website. Second, the end customers who send messages to our clients across the channels our AI agent operates. Where we handle end customer information, we do so on behalf of our client to deliver the service.

02Information we collect

From clients and website visitors

• Contact and account details such as name, business name, email address, and phone number.
• Business information you provide at intake so we can configure your AI agent.
• Billing information needed to process payments, handled through our payment processor.
• Usage and device data such as IP address, browser type, pages viewed, and similar analytics.

From end customers who message our clients

• The content of conversations sent through Instagram, WhatsApp, Facebook Messenger, and website chat.
• Contact details a customer shares during a conversation, such as name, phone number, or email.
• Appointment details and any information needed to qualify a lead or book an appointment.

03How we use information

• To set up, operate, and improve the AI sales agent service.
• To qualify leads, answer questions, book appointments, and where enabled, collect deposits on behalf of our client.
• To process payments and manage client accounts.
• To provide a performance dashboard and reporting to our client.
• To communicate with clients about their account and the service.
• To maintain security, prevent abuse, and meet our legal obligations.

04How we handle end customer data

When an end customer messages one of our clients, we process that conversation to deliver the service to the client. The client is responsible for the relationship with their own customers and for having the right to communicate with them. End customers who want their information accessed, corrected, or deleted should contact the business they messaged. We will support our clients in responding to those requests.

05How we share information

We do not sell personal information. We share information only in these situations:

• Service providers. Trusted third parties that help us operate the service, such as hosting, messaging infrastructure, analytics, and payment processing. They may only use the information to perform services for us.
• Our clients. We share the conversations and lead information generated through their channels with the client they belong to.

06Data retention

We keep information for as long as needed to provide the service, meet our legal and accounting obligations, and resolve disputes. Clients may request deletion of their data when they end the service, subject to any retention we are legally required to maintain.
